We use the following third-party services to operate our business: Upstash and Vercel (secure hosting and database), Microsoft 365 (email), and Anthropic's Claude API (AI-assisted document drafting — your activity details are processed solely to generate your document and are not used to train AI models).

5. How Long We Keep Your Data

We retain document request details and correspondence for 6 years in line with UK business record-keeping requirements, after which data is securely deleted.

6. Your Rights

Under UK GDPR you have the right to access, correct, delete, or restrict your data, and to object to processing. To exercise these rights, email info@stemalytic.com. You also have the right to complain to the ICO at ico.org.uk.

Terms & Conditions of Service

1. Services Provided

STEMAlytic ("we", "us", "our") provides AI-assisted health and safety document drafting services. All documents are reviewed by a qualified health and safety professional before delivery to the client.

2. Payment Terms

Payment is due within 7 days of invoice. Documents will not be released until payment has been received in full. Any invoices not fulfilled within 7 days will be cancelled and a new request will need to be submitted.

3. Document Accuracy

Whilst every care is taken to ensure documents are accurate and compliant with current UK legislation, STEMAlytic accepts no liability for any loss, injury, or damage arising from the use of documents provided. It is the client's responsibility to ensure documents are appropriate for their specific circumstances before use.

4. Limitation of Employer Duties

The provision of any Risk Assessment, Method Statement, or other health and safety document by STEMAlytic does not remove, reduce, or transfer the statutory duties placed upon the employer under UK health and safety legislation, including but not limited to the Health and Safety at Work etc. Act 1974 and the Management of Health and Safety at Work Regulations 1999. It remains the sole responsibility of the employer to ensure compliance with all relevant legislation.

5. Professional Review

All documents are reviewed and approved by a qualified health and safety professional prior to delivery. Clients should ensure documents are reviewed by their own competent person before implementation.

6. Refunds and Revisions

The documents we provide are bespoke and therefore payments made are non-refundable once document preparation has commenced. One round of minor revisions is included in the price. Major revisions or changes to scope may be subject to additional charges, agreed in advance. Any errors not raised within the first revision will be deemed as accepted by the client.

7. Intellectual Property

Upon full payment, the client receives a licence to use the document for its intended purpose. STEMAlytic retains the right to use anonymised document structures as templates.

8. Confidentiality

All client information is treated as strictly confidential and will not be shared with third parties except where required by law. Please refer to our Privacy Policy for full details.

9. Cancellation

Cancellations requested within 24 hours of submission, and before document preparation has commenced, will be eligible for a full refund. Once document preparation has begun, no refund is available regardless of the stage of completion. Clients will be notified by email when preparation has commenced.

10. Governing Law

These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
